Using BidPilot
Effective date: 3 October 2026
These terms apply to the free BidPilot pilot operated independently from Galway, Ireland. By creating an account or using the service, you agree to these terms. Contact support@gotbidpilot.com with questions.
Pilot service
BidPilot helps organisations organise tender information, assess readiness, manage evidence and prepare draft bid content. Pilot features may change, be suspended or be removed. We do not promise that the pilot will always be available, uninterrupted or error free.
Accounts
You must provide accurate account information, keep your password secure and promptly report suspected unauthorised access. You are responsible for activity carried out through your account. You may not share access in a way that defeats account security or company privacy controls.
Authorised and acceptable use
You may only upload content you own or are authorised to process. You must not use BidPilot to break the law, infringe rights, access another user’s information, distribute malicious code, test security without written permission, overload the service or create deceptive tender submissions.
AI assistance and tender responsibility
Artificial intelligence output can be incomplete, inaccurate or unsuitable. BidPilot does not provide legal, financial or procurement advice. It does not guarantee tender eligibility, compliance, scoring, submission or award. You remain responsible for checking every requirement, date, calculation, statement, attachment and final submission. BidPilot never submits a bid or makes an award decision for you.
Your content
You retain ownership of content you upload. You give BidPilot and its contracted providers limited permission to host, copy and process that content only as needed to operate the service and complete the actions you request. You are responsible for keeping independent copies of important records.
BidPilot intellectual property
The BidPilot name, software, interface, design and original service materials belong to the service operator or applicable licensors. These terms do not transfer ownership to you. You may not copy, resell, reverse engineer or commercially exploit the service except where the law expressly permits it.
Confidentiality and privacy
We use reasonable measures designed to keep company workspaces private. Our handling of personal information is described in the Privacy Policy. You remain responsible for deciding what confidential information is appropriate to upload and for meeting any confidentiality duties owed to buyers, clients, staff and third parties.
Suspension and termination
We may restrict or suspend access where reasonably necessary to protect users, secure the service, investigate misuse or comply with law. We may terminate an account for serious or repeated breach of these terms. You may stop using the pilot and request account deletion at any time. Export important information before closing your account.
Disclaimer and liability
The pilot is provided without a promise that it will meet every requirement or produce a successful bid. Nothing in these terms excludes liability that cannot legally be excluded. To the extent permitted by law, we are not responsible for indirect loss, lost profits, lost opportunities, tender rejection, loss caused by unreviewed AI output or loss caused by information supplied by the user. Because the pilot is free, our total liability arising from the pilot will not exceed one hundred euro, except where a different limit is required by law.
Changes and ending the pilot
We may update these terms or end the pilot. Material changes will be communicated where appropriate. Continued use after an updated effective date means you accept the revised terms, but we will request fresh acceptance where legally required.
Governing law
These terms are governed by Irish law and disputes are subject to the courts of Ireland, without removing any mandatory rights that apply to a consumer. The free pilot is intended primarily for business and professional tender activity.
